MINUTES OF MEETING
13 May 2009 at Plateau Bar and Restaurant, Taupo
7:00pm
 
PRESENT: Lisa Rowland; Richard Balm; Pete Masters, Pete McFarlane, Thomas Schwarz; Karyn Hutton; Richard Hine, Keith Crate, Mike Langley; Aniek Van Iersel

CONFIRMATION OF PREVIOUS MINUTES: Committee agreed that minutes of 1 April 2009 were a true and correct record, Accepted by Mike/Richard
MATTERS ARISING:

Other matters
· Karyn to put $10,000 on TD (Richard H advised a good 4.25% interest rate for 100 days as a Westpac special). Online saves is currently less than 3%
· Mike Pete and Karyn are to get together to review the Wairakei cashflow

SUBCOMMITTEE REPORTS:
Urban Jungle:
1. Database of Projects 2004 to date – Thomas is employed by TDC to prepare this. Will include what, where, promotion initiatives, priority and area.
2. Map Budget – TDC has money set aside in a budget for maps. Perhaps we could do an upgrade of the Wairakei riding area with a focus on visitors. Would include rides with descriptions of gradients, starting places. Entry level rides marked out in loops. Pete Thomas and Richard to meet at TDC for brainstorming session.
3. Cycle Strategy – 3 workshops finished – awaiting action plan. Strategy team are to present to Council the most important initiatives
4. Spa Road – A cut has been finally made on Spa road where the cycle lane ends directing cyclists in to the off-road tar seal piece.
5. Spa Road / Tauhara Road Intersection – TDC are looking at changing this intersection so that Spa Road heading South will be continuous – or a roundabout put in.
Media Promotion and Website:
1. Liane Fraser – Richard to approach Liane to do a Newsletter for Bike Taupo. He will also have Liane send an intro to the committee about herself. Looking into a monthly feather in the paper with sponsorship from say bike shops.
2. Cycle Challenge Guide Book – Keith brought in 5 books to be used as a giveaway/promotion. Committee to email Thomas ideas on what should be done with the books.
Managers Report
W2K
· All gear is out
· Some shortcutting has been fixed
· Stoat traps have been set and so far caught three rats
· Quite a few pigs on headland track
· Need to come up with some names for places on the track (names that have meaning) together with kilometre markers
Wairakei
· New signs erected within two weeks
· Pete Lockwood has resigned from the Wairakei sub-committee and Brendan Reynolds has replaced him.
· Huka Ride – had a good meeting – made changes to the Aratiatia part in lieu of the Eastern Arterial
· Looked at the new areas 11 and 12 – there’s lots of potential for new tracks.
· The re-alignment of the Outback has commenced which will bypass the Drone.
· Picked up Toilet tank and poles for roof lean to for info/timing shelter near bridge. The shelter should be ready for the Craters Classic on 19/7/09
· We will charge event directors $50 per event for toilet use which will cover cleaning etc.
· Pete and Pete have been recording visitor numbers in a note book. So far the stats over a 9 day period read: 37.7 people per day. 1 local to every 3.96 visitors. 9 dogs. 76 bikers and 46 walkers.
 
 
 
 
Other matters:
· Alan Vane had an accident during marshalling on the Moonride – collapsed and is in Waikato Hospital. Pete Master is due to visit him this weekend and will pass on Bike Taupo’s regards and well wishes.
· Pete Masters is away from 6 June and Pete McFarlane will lead the manager’s team with Paul Prendergast on call.
· Turangi is keen to get some tracks in and Bike Taupo reiterated that we are keen to support in a consultancy role. We would welcome a meeting to share our success and help them get their team going. But we do not want to take on physically funding and building tracks in Turangi.
Submissions:
· NIL
Funding/Projects:
· Need to replace the Van and a resolution was agreed by the committee to apply to various funding sources in the sum of $15,000.
· A resolution was also made to apply to Youthtown for $15,000 to be the presenting sponsor the Cyclemainia Week. Funding would go towards running the campaign. We will extend an invitation to Liane Fraser to be the co-ordinator.
GENERAL BUSINESS:
Mizuno off-road ½ marathon -
· Keith advised that $10 per head per competitor will go towards the Doc Concession for use of track.
Whangamata Stream Track
· New track which will be a 6km loop.
· Kinloch Community Society has asked for a quote from Bike Taupo to do the work.
· Track is on DoC land and there would be a Memorandum of Understanding between DoC and the Kinloch Community Society.
· Dept of Corrections would do future maintenance.
National Cycle Ways Project
· Richard met with the guy heading the project Angus Davidson – it’s unsure what stage it's at yet all words so far.
· A budget announcement is however due in May (it will not be $50M)
· Bike Taupo is looked upon highly and there might be a chance for Taupo to be involved.
· He took him to see W2K
· Talking about a track between Rotorua and Taupo
· Mayor is on board.
Cancer Society Fundraiser
· Thomas reported a chap is raising money for the Cancer Society and was biking from Palmerston North to Auckland and would be passing through Taupo between 3 and 4pm. A request to rally some bikers together to bike in to Breakers restaurant with him. It seemed a little vague the time – may not occur.
Accident Register
· A guy broke his neck on the old 4 wheel drive track that crosses the Redwoods (not designated on Bike Taupo maps)
· A broken arm on the Coaster

NEXT MEETING: 1 July 2009 – 7:00pm – Plateau Bar (or such other date or place as the committee may choose)
